This privacy policy explains how Cube Purple Limited ("Cube Purple", "we", "us") collects and uses personal information. Cube Purple Limited is registered in England and Wales, company number 08379053. Our registered office is Suite 6, Empingham House, Uppingham Gate, Ayston Road, Uppingham, Rutland LE15 9NY. We are registered with the Information Commissioner's Office, registration number ZA355629. FireArrest, ClockedIn and ClockedInOne are products owned and operated by Cube Purple Limited, and this policy covers them too.
We have provided this privacy policy to help you understand how we collect and use your personal information when you use our website or take advantage of our services.
Cube Purple undertakes a diverse variety of data collection activities, and the purpose of this notice is to clarify for the user how their personal data may be collated and used while undertaking use of our services.
When we act for your employer
If you use FireArrest, ClockedIn or ClockedInOne through your employer or another organisation, that organisation is the data controller for the information held in the system, including any biometric template, and we process it only on its instructions. Please send questions about that information to your employer first. We will help them answer.
Scope Of This Privacy Policy
Our websites only
This privacy statement applies to all websites, domains, services, applications and products operated by Cube Purple Limited.
You should also be aware that communications over the internet, such as e-mails, are not secure unless they have been encrypted. Your communications may route through a number of countries before being delivered – this is the nature of the internet. Cube Purple cannot accept responsibility for any unauthorised access or loss of personal information that is beyond our control.
Links to other websites
Cube Purple will never provide links to, sell, trade or otherwise transfer to outside parties your personally identified information.
We may however provide social media features that enable you to share information with your social networks and to interact with members of Cube Purple on various third party social media sites. Your use of these features may result in the collection or sharing of information about you, depending on the feature.

Collection of data
Cube Purple will acquire personal information relating to you in the following ways, i.e. by:
- Registration on our website
- Voluntary means, as when you provide the information to us
- Obtaining from the subscription to a newsletter
- When you enter information by any means on our website
- When information is inputted by your employer/data controller for purely work-related purposes
Enquiries
When you contact us through our website, by email or by phone, we record your name, contact details and enquiry in our customer relationship system, monday.com, so we can reply and keep track of the conversation. monday.com stores this data in the United Kingdom.
If you book a call through our website, the name, email address, phone number, company and any notes you enter are sent to the booking system Cube Purple runs on firearrest.com, so we can arrange the call and send you a calendar invitation. The booking tool sets no cookies.
If you message us on WhatsApp, your number and messages are handled by WhatsApp (part of Meta) under its own privacy policy, as well as by us. We use them only to reply to you.
Regarding Cookies
Cookies are the customary automated way in which anonymous information about you is collected when you visit a website. The Cube Purple website uses cookies for functional and analytical purposes. Analytics and advertising cookies are only set if you accept them on our cookie banner, and you can change your choice at any time using the Cookie settings link at the foot of every page. You can also choose to have your computer warn you each time a cookie is being sent, or you can choose to turn off all cookies. You can do this through your browser settings. First and foremost we use information about you for specifically stated purposes as per our Terms of Service. We may also use your information to provide you with products, services, and with information about networks and connections that you have or are in the process of purchasing or which you have shown or we believe you are or may be interested in.
Next, we use the information to improve and develop products, services and support including (but not limited to) quality control, research and data analysis activities. We update you on new services and benefits and measure performance of marketing initiatives and ads.

How we share your information
Cube Purple will not sell, rent or lease your personal information for commercial gain to others.
We retain service providers and suppliers to manage or support our business operations to assist in the provision of products and services bought or commissioned from us and to assist us with marketing and communication initiatives. All providers are required by contract to keep information confidential, secure and encrypted and to use it only to carry out the services being performed as stated in our Terms of Service.
We will not otherwise share the personal information you provide without your permission, unless to:
- Respond to information requests of police and governmental authorities.
- Comply with any law, regulation, or court order.
- Investigate and help prevent security threats, fraud or other malicious activity.
- Enforce/protect the rights and properties of Cube Purple.

International transfers
We work with a development partner in Jaipur, India. Where their team needs access to personal information to build and support our products, we protect it with a signed data transfer agreement that includes the safeguards required by UK data protection law. Some of our service providers may also store data outside the UK. When they do, we make sure the safeguards required by UK data protection law are in place.
How long we keep information
We keep enquiry records for two years after our last contact with you. We keep customer records for the life of the contract and then for six years, to meet our tax and legal obligations.
Your consent to us
By voluntarily providing us with personal information you consent to our use of that information as described in this privacy statement. When we communicate with you on an unsolicited basis we will always provide you with a convenient option to opt-out/unsubscribe. We may communicate with you in various ways such as email, text, post or phone.

No member of Cube Purple will disclose sensitive personal information about you (for example biometric, financial or sensitive personal data) to any third parties without your explicit consent.
If you as an employer/service user (known as a "data controller") give us information about another person, in doing so you confirm that they have given you permission to provide it to us to be able to process their personal data (including any sensitive personal data) and also that you have told them who we are and what we will use their data for, as set out in this privacy statement.
Your rights
Under UK data protection law (the UK GDPR and the Data Protection Act 2018) you have the right to see the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive a copy in a portable format. We will respond within one month and, in most cases, without charge.
